Rescue Tracker ("we," "us," "our") provides animal rescue management software at rescuetracker.org and via mobile apps on iOS and Android. This policy explains what data we collect, how we use it, with whom we share it, and your rights over it. By using our Service you agree to this policy.
Account & Identity — Name, email address, hashed password, organization name and role.
Animal Records — Names, species, breed, photos, medical notes, status, and intake/adoption history you enter for animals in your care.
Volunteer & Adoption Forms — Contact details, references, housing info, and other data submitted through your public portal forms.
Payment Data — Subscription billing is handled entirely by Stripe. We store only your Stripe customer ID and subscription tier — never raw card numbers.
Device & Technical Data — IP address, device model, OS version, app version, crash reports, and usage logs used to maintain and improve the Service.
Camera & Photos (Mobile App Only) — Only accessed when you explicitly choose to add an animal photo. We never access your camera roll in the background.
We do not use your data for advertising, and we do not sell or rent your data to any third party.
No other third parties receive your personal data.
The Rescue Tracker mobile app requests camera and photo library permission solely to let you attach photos to animal profiles. Access is triggered only by your explicit tap on a photo-add button. We do not scan, analyze, or transmit any photos except those you intentionally attach. Photos are stored encrypted on our servers and visible only to authorized members of your organization.
We send push notifications for animal status changes, new adoption applications, volunteer approvals, and critical organizational alerts. Your device token is transmitted to Apple (iOS) or Google (Android) solely for delivery. You may disable notifications at any time in your device Settings → Notifications.
If your organization chooses to connect a Facebook Page (and the Instagram professional account linked to it), Rescue Tracker uses Meta's official login to receive: your Facebook user ID, the list of Pages you choose to share, an access token for each of those Pages, and the linked Instagram account's ID and username. We use this only to publish the adoptable-animal posts your staff choose to send (text and animal photos you've uploaded) and to show which Pages are connected. We do not read your messages, friends, or other personal Facebook data, and we never sell or share this data.
Page access tokens are stored encrypted. You can disconnect a Page at any time from the Share window in Rescue Tracker, or remove Rescue Tracker in your Facebook settings (Settings & privacy → Settings → Business integrations). When you do, Facebook notifies us and we delete the stored tokens and account IDs automatically. You can also email privacy@rescuetracker.org to request deletion, and we'll confirm within 30 days. Posts already published stay on your Page until you delete them there.
Your data is retained while your account is active. If you cancel your subscription, data is retained for 90 days to allow recovery, then permanently deleted from all systems. You may request immediate deletion at any time by emailing privacy@rescuetracker.org. We will confirm deletion within 30 days.
We protect your data with: TLS 1.2+ encryption in transit, bcrypt password hashing, JWT-based short-lived session tokens, role-based access controls, and regular security audits. No Internet transmission method is 100% secure. We will notify affected users promptly in the event of a data breach.
If you turn on text messages in your Rescue Tracker account (for example, login codes, account alerts, volunteer shift reminders, or adoption check-in reminders), we will send texts only to the mobile number you provide and only for the purposes you opted in to. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP to any message, or get help by replying HELP. You can also turn texts off in your account settings or by emailing support@rescuetracker.org.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third parties, except with our messaging service provider solely to deliver the messages you asked for.
The Service is intended for use by adults operating animal rescue organizations. We do not knowingly collect personal information from children under 13 (or under 16 in the EU). If you believe a child has provided us data, contact us immediately at privacy@rescuetracker.org and we will delete it.
Depending on your jurisdiction you may have the right to: access the personal data we hold about you, correct inaccurate data, request deletion ("right to be forgotten"), restrict or object to processing, and data portability. To exercise any right, email privacy@rescuetracker.org. We respond within 30 days.
We do not sell personal information. California residents may request disclosure of data collected, request deletion, and opt out of any future sale. Contact us at the email below to exercise CCPA rights.
If you are located in the European Economic Area, our legal bases for processing are: contract performance (operating your account), legitimate interests (security, fraud prevention), and your consent (optional communications). You have rights of access, rectification, erasure, restriction, portability, and to lodge a complaint with your supervisory authority.
We may update this policy periodically. Material changes will be announced via email and in-app notice at least 14 days before taking effect. The "Last Updated" date at the top of this page reflects the most recent revision. Continued use after the effective date constitutes acceptance.
